Council Administration

1. Attendees: NL, DS, HW, KT, PH, VH

2. Apologies: No apologies for absence were received.

3. Declarations of Interest: No declarations of interest were declared.

4. Previous Minutes: Notes from the previous meeting on Tuesday 12th May 2026 were approved as minutes. Proposed by: NL, seconded by: PH

5. Outstanding Actions: Actions from the previous minutes were reviewed. Pending actions include:

  • EB to continue to investigate suitable perennial plants for the burial ground.
  • DS to liaise with SPRG and MUGA group regarding the official MUGA opening date.
  • NL to continue to investigate the feasibility of a Blood Bank session in Saxilby.

6. Matters Arising: No matters arose from the previous minutes.

7. Action Log: The action log was noted.

8. Events Calendar: The 2026 Events Calendar was noted.

9. Meeting Dates: Meeting dates were discussed alongside the difficulty of producing detailed minutes in time for the P&D committee. It was agreed that minutes will be short and succinct so they can be drafted in a reasonable time for P&D committee meetings; therefore, there is no requirement to adjust future meeting dates.

 

Main Business / Discussion Items

10. Burial Ground Volunteer Sessions: Sessions are successful, although more volunteers are required as a high proportion of councillors have been in attendance at each session. The next session is Thursday 18th June. ACTION: Comms to continue to promote on Facebook.

11. May Fundraiser: The event raised £391 for Wildline Wildlife Sanctuary.

12. Future Fundraiser Sessions: DS proposed the next beneficiary to be Christmas lights event, seconded by: KT

13. MUGA Official Opening: The official opening / picnic games date is on hold until the MUGA is completed.

14. Menopause Awareness Day: PH proposed this should be part of wellbeing week, seconded by: KT

15. Family Fun Day Update: Noted. Councillors will display this year’s projects on display boards in the tent (i.e., Westcroft, MUGA, Burial ground, Speedwatch, Poppy cascade). Carla or DS to be lead councillor as requested one required by office.

16. Christmas Lights: It was noted that progress is being made regarding the Christmas Lights Switch On; to be detailed at the next Christmas Planning meeting.

17. Planning and Development Committee: All recommendations to the Planning and Development Committee were approved apart from: "to propose a second member of Events be on the comms team to support weekend posts."

18. Yard Sale Update: 19 residents have signed up. Comms are promoting the event on Facebook.

 

Any Other Business

• Planting Hedging at the School: The Committee agreed that members of this group do not have the capacity to support the school with this project.

 

Agreed Actions

• Future minutes to be short and succinct in respect of the work-life balance and wellbeing of members and to concentrate time on delivery and promotion of events.

• Comms to continue to promote the Burial Ground and Yard Sale on Facebook.

• Councillors to display this year’s projects on display boards in the Family Fun Day tent (i.e., Westcroft, MUGA, Burial ground, Speedwatch, Poppy cascade).
